REQUEST FOR PROPOSAL

 

ARCHITECTURAL SERVICES – RFP # 1-2013/14

 

 

 

The Mill Valley School District is inviting proposals from qualified firms, partnerships, corporations, associations, or professional organizations to provide comprehensive professional architectural and associated planning services to the District.

 

The District is engaging in the installation of three to five portable classroom and parking lot reconfiguration project at the Mill Valley Middle School site.  Response to the Request for Proposal (RFP #1- 2013/14) shall include one (1) original and four (4) copies.  Requested materials to be forwarded to:

STATEMENT OF QUALIFICATIONS

 

The Mill Valley School District is requesting proposals from experienced professional architectural firms to provide general architectural services relating to school facilities.

 

The selection process may include a screening review and evaluation of proposals by staff, consultants and members of the School Board.  Selection of candidates who best meet the requirements of the District is expected to be completed on March 10, 2014 by 4:00 pm.

 

It is mandatory that the firm has experience with the requirements of the State of California, Office of Public School Construction, Division of State Architect, and have extensive knowledge of Uniform Building Code (UBC), and Title 24 of the California Code of Regulations.

 

Instructions for Submitting RFP# 1-2013/14

          General

 

    1. Cover Letter- A maximum one-page, dated Introductory Letter must be submitted, including the legal name of the respondent, address, telephone and fax numbers, and the name, title, signature of the person(s) authorized to submit the proposal on behalf of the firm.

       

  1. Table of Contents- A Table of Contents of the material contained on the proposal should follow the Cover Letter.

     

  2. Executive Summary- The Executive Summary should contain an outline of your general architectural and business approach along with a brief summary of your qualifications to engage in a professional relationship with the Mill Valley School District.

     

  3. Narrative- Provide a Comprehensive Narrative of the architectural, planning and engineering services offered by your firm.  The narrative may include the following:

    1. Experience- Describe your experience with public and private educational projects. Include the scope of projects, description, and construction cost.  Provide contact names and phone numbers.  Describe your experience with the Division of State Architect (DSA), the Office of Public School Construction (OPSC) and the office of the State Fire Marshall.  In describing experience, please be specific demonstrating knowledge of policies and guidelines for each organization.

       

    2. Personnel- Include resumes/vitas of personnel who would likely be assigned to projects associated with the Mill Valley School District.  Specifically define the role of each person and outline his or her individual experience.  Indicate who would serve as the primary contact for the District.  If the firm should utilize resources from more than one office, indicate office locations and how work would be coordinated.

       

  5. Professional Fess- Provide a fee schedule for the types of service that your firm office including: a) new construction; b) remodel/modernization c) master planning.  Be thorough and specific as this will form the basis of any contract for service that may be presented by the District.

     

  6. Change Order Data- Provide Change Order Data from your five (5) most recent public works projects.  Include original estimates of project costs and a brief explanation for the need of the change orders.

     

  7. Additional Data- Provide additional information about the firm as it may relate to this RFP.  Include letters of reference or testimonials.  Indicate ongoing commitment to professional education of staff, and total number of permanent employees.

    RFPs should be completed and prepared to provide an insightful, straightforward and concise overview of the capabilities of your company.  Any proposal received after the deadline of March 6, 2014 12:00 Noon will not be considered or reviewed.

     

    The emphasis of your proposal should be on completeness and clarity of content.  RFPs may be rejected if not prepared in the format described, or if submitted without all required information and signature.  Additional facts and information may be included if it will help to highlight your firm’s qualifications and experience.

     

    All materials submitted in response to the Request for Proposals shall become the property of the Mill Valley School District and shall be considered a part of Public Record.  The District reserves the right to reject any or all Requests for Proposals.
